This Privacy Policy applies to personal information collected through the StatementsPro website, user dashboard, payment and subscription flows, customer support communications, contact forms, and related product features.
It covers information collected directly from you, information generated through your use of the service, information obtained through service providers that help us operate StatementsPro, and information associated with documents that you choose to upload for processing.
This policy does not apply to third-party sites, plugins, payment pages, or software platforms that may be linked to or integrated with StatementsPro. Those third parties have their own privacy practices and policies.
StatementsPro is an online tool designed to convert PDF bank statements and similar financial documents into structured outputs such as Excel spreadsheets, CSV files, QuickBooks-compatible files, Xero-compatible files, and custom export formats.
The service is operated under the StatementsPro brand by Ajinkya Meshram. Where local law uses terms such as "data controller," "business," or "operator," StatementsPro acts in that role for personal information described in this policy, unless we are processing information strictly on behalf of a business customer under separate terms.
Where a user uploads documents on behalf of an employer, client, or another organization, that user is responsible for ensuring they have permission and an appropriate legal basis to provide those documents to StatementsPro for processing.
Depending on how you interact with StatementsPro, we may collect the following categories of information:
When you visit the StatementsPro website or use the dashboard, certain information may be collected automatically through server logs, analytics tools, cookies, or similar technologies. This helps us operate the service, understand feature usage, troubleshoot technical issues, secure accounts, investigate abuse, recognize payment disputes, and improve reliability.
Automatically collected information may include cookie identifiers, session information, browser characteristics, IP address, device identifiers, page views, route transitions, crash data, fraud signals, and similar operational telemetry.
We may receive information from third parties that support the operation of StatementsPro, including payment processors, analytics providers, email providers, customer support systems, or other infrastructure vendors.
For example, our payment processor may provide us with billing status, subscription details, limited payment metadata, invoice status, charge failure notices, or dispute-related information. Analytics tools may provide aggregated usage metrics and event history associated with your account or device.
We may use personal information for the following business and operational purposes:
StatementsPro does not use the personal information or uploaded financial documents you submit through the service to train public, shared, or generalized artificial intelligence models for third-party use.
We do not sell personal information for money. We also do not disclose personal information to unrelated third parties for their own independent marketing purposes.
If you are located in the European Economic Area, the United Kingdom, or another jurisdiction that requires a legal basis for processing, we may rely on one or more of the following legal bases depending on the context:
StatementsPro may use cookies, local storage, pixels, and similar technologies to operate the website and dashboard, remember preferences, maintain sessions, measure usage, secure the service, and understand how users interact with the platform.
These technologies may include strictly necessary cookies required to enable account login or core service functionality, and analytics-related technologies used to measure product usage and site performance. StatementsPro does not currently describe ad-targeting or retargeting cookies as a core part of the service.
If a separate Cookie Policy is published in the future, that policy will supplement this Privacy Policy. Depending on your location, you may also be presented with cookie choices or consent tools.
StatementsPro works with third-party providers that help us operate the service. Based on our current operations, these may include payment providers such as Stripe, analytics providers such as Mixpanel, and email or support communications providers such as Gmail or Google-hosted email tools.
We may also use hosting, cloud infrastructure, storage, authentication, logging, security, error monitoring, and database providers. Some of these vendors may process personal information on our behalf and only under instructions reasonably necessary to deliver their services to us.
A provider's role may change over time as StatementsPro evolves. We therefore reserve the right to add, remove, or replace vendors, provided that their involvement remains consistent with this Privacy Policy and applicable law.
We may share personal information in the following limited circumstances:
We do not sell personal information and do not share personal information with advertising partners for cross-context behavioral advertising as part of the core StatementsPro service described at the time of this policy.
StatementsPro is designed to process financial documents. Those documents may contain highly sensitive business information or personal financial details. We therefore encourage users to upload only documents they are authorized to use and to avoid submitting unrelated sensitive personal information unless necessary for the requested conversion.
When you upload a bank statement, invoice, or similar file, the document may contain transaction descriptions, names, balances, account-related details, dates, invoice numbers, or other financial content. StatementsPro processes such information only to provide the requested service, operate related features, secure the platform, troubleshoot service issues, and comply with law.
Although StatementsPro's website states that financial information is processed securely and not stored longer than necessary, certain service features may require temporary or limited retention of uploaded files, extracted outputs, conversion history, or account-linked content in order to provide the functionality you selected, investigate fraud or disputes, preserve records, or comply with legal obligations.
StatementsPro serves users in multiple countries. As a result, personal information may be processed in jurisdictions other than the country where you are located, including countries where our vendors or infrastructure providers operate.
When applicable law requires safeguards for international data transfers, we will rely on measures that are recognized under the relevant law, such as contractual protections, adequacy-based mechanisms, or other lawful transfer tools.
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, unless a longer retention period is required or permitted by law.
In general, StatementsPro may retain account information for up to two (2) years after cancellation or non-renewal of a subscription in order to maintain account records, respond to support requests, investigate fraud or disputes, enforce terms, and comply with legal or accounting obligations.
Billing, payment, tax, and transaction records may be retained for longer periods where required by law, industry standards, tax rules, audit needs, or dispute-resolution purposes.
Uploaded files, extracted content, and conversion outputs may be retained for shorter or longer periods depending on the feature used, whether the user chose to save results in the account, whether a dispute, security investigation, or support matter exists, and whether legal retention obligations apply.
Following account deletion or retention expiry, we may delete, anonymize, aggregate, or securely isolate information, except where continued storage is required for backups, fraud detection, dispute handling, security logging, or legal compliance.
StatementsPro uses administrative, technical, and organizational safeguards intended to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.
These safeguards may include encrypted transmission, access controls, authentication measures, vendor security controls, limited administrative access, secure payment handling through specialized providers, logging and monitoring, and practices intended to minimize unnecessary retention of financial documents.
No system is completely secure. Accordingly, while we take reasonable steps to protect information, we cannot guarantee absolute security.
Depending on where you live, you may have rights regarding your personal information. These rights may include the right to request access to the personal information we hold about you, request correction of inaccurate information, request deletion of information in appropriate circumstances, object to or restrict certain processing, withdraw consent where processing is based on consent, or request portability of information where applicable.
StatementsPro will review privacy requests in light of applicable law, the nature of the request, our role in the processing, and any legal or operational exceptions that apply. We may ask you to verify your identity before acting on a request.
To exercise privacy rights or submit a privacy-related question, please contact support@statementspro.com.
If you are a California resident and California privacy law applies to your interaction with StatementsPro, you may have additional rights, such as the right to know categories of personal information collected, the categories of sources, business purposes for collection, categories of recipients, and the right to request deletion or correction in certain circumstances.
StatementsPro does not sell personal information and does not share personal information for cross-context behavioral advertising as part of the core service described in this policy.
California residents may submit requests by emailing support@statementspro.com. We may need to verify your identity before responding.
If you are in the EEA or UK, you may also have the right to lodge a complaint with your local supervisory authority if you believe your personal information has been processed unlawfully.
Where required, StatementsPro will honor rights relating to access, correction, deletion, restriction, objection, portability, and withdrawal of consent, subject to lawful exceptions.
StatementsPro is a business and productivity service and is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13 through the service.
If you believe that a child under 13 has provided personal information to StatementsPro, please contact us so that we can investigate and take appropriate action.
Where account deletion or similar self-service features are available, you may request deletion of your account or contact support for assistance.
Deleting an account does not necessarily result in immediate deletion of every associated record. Certain information may remain in backups, logs, billing systems, support archives, dispute records, or legal compliance files for a limited period.
StatementsPro may support exports or integrations with accounting platforms or other tools. When you choose to export data to a third-party platform, that platform's own privacy terms and security practices will apply to the data once it is received by that provider.
Our website or dashboard may also contain links to third-party websites. We are not responsible for the privacy practices of those third parties.
We may update this Privacy Policy from time to time to reflect changes in the service, legal requirements, technology, or business practices.
When we make material changes, we may post the updated policy on the StatementsPro website, update the effective date, and take additional steps where required by law.
